Gen-AI Policy
Overview
Lontar Komputer recognizes that generative artificial intelligence (AI) and AI-assisted tools are now part of how research is written and analyzed. They can help with language and productivity, but they can also produce inaccurate, biased or fabricated content and put confidential material at risk. This policy sets out how authors, reviewers and editors may and may not use these tools. It follows the principles of the Committee on Publication Ethics (COPE) and will be updated as the technology and practice change.
Scope and Definition
AI tools are software or services that use machine learning, natural language processing or deep learning to generate or modify text, code, data, images or audio. Examples are large language models (such as ChatGPT, Gemini, Claude and Copilot), AI writing and paraphrasing tools (such as Grammarly, QuillBot and DeepL Write), AI-assisted translation, and AI tools for generating figures, charts or literature summaries.
For Authors
Authors may use AI tools to improve the language, grammar and clarity of their own text, to format references, and as a support for preliminary literature searching, provided that a human reviews everything the tool produces. Using AI as part of the research method itself (for example a model that is the subject of the study, or AI-based data analysis) is not restricted by this policy but must be described in the Methods section.
AI tools must not be used to:
- write a whole manuscript or its main sections (for example the results, discussion or conclusions);
- fabricate, falsify or alter data, results, citations or images;
- generate references that the authors have not found and checked themselves;
- translate or paraphrase published work in a way that amounts to plagiarism or infringes copyright;
- create or modify figures, images or graphical abstracts, except where the AI tool is an integral part of the method (for example AI-based medical imaging). In that case the Methods section must give the tool's name, version and developer and describe exactly how it was used. Basic adjustments such as brightness and contrast are allowed if they do not hide or change information. The editors may ask for the original images or raw data.
AI tools cannot be authors or co-authors and cannot be cited as authors, because authorship carries responsibilities that only people can take. Authors remain fully responsible for the accuracy, originality, references and any bias in the manuscript, including text produced with AI support.
Any use of generative AI beyond simple spell-checking must be disclosed in a separate "Declaration of AI Use" section before the references, stating the tool name, version and developer, what it was used for, and that the authors reviewed and take responsibility for the output. If no AI was used, authors may state this. Suggested wording:
"During the preparation of this manuscript, the authors used [tool name, version, developer] for [purpose]. The authors reviewed and edited all output and take full responsibility for the content of the publication."
The disclosure is published with the article. Where AI was used for data analysis or figure generation, it must also be stated in the Methods section.
The editors may use AI-detection tools as one indicator. Because such tools are not fully reliable, a detection result alone is never a reason to reject a manuscript. It is always combined with human judgment and, where needed, a request for explanation from the authors.
For Reviewers
Manuscripts sent for review are confidential. Reviewers must not upload any part of a manuscript to a generative AI tool, because this may breach the authors' confidentiality and proprietary rights and, where personal data are included, privacy law. Reviewers must not use AI tools to evaluate the manuscript or to write, edit or polish their review report, since the report may itself contain confidential information and the evaluation requires human expertise. The reviewer is fully responsible for the content of the review. A reviewer who suspects that a manuscript contains undisclosed AI use may tell the editor, but should not test it with an AI tool.
For Editors
Editors must not upload manuscripts, decision letters or other confidential editorial correspondence to a generative AI tool. Editors do not use AI to evaluate manuscripts or to make editorial decisions, and the journal does not use AI for automated decisions. Editors remain accountable for the whole editorial process. Editors may use AI-based tools only for tasks that involve no confidential content, such as checking the language of their own general announcements, and any use of AI tools by the editorial team is disclosed on this page.
Editorial Oversight and Consequences
Editors and reviewers consider AI disclosures during review. If AI use appears undisclosed or improper, the journal may ask the authors for clarification, require revision, reject the manuscript, or refer the case for investigation under the Publication Ethics policy. Violations may lead to rejection at any stage, retraction after publication, notification of the authors' institution, and, in serious or repeated cases, a ban on future submissions.
Appeals and Updates
Authors who disagree with a decision related to AI use can appeal in writing to the Editor-in-Chief at lontarkomputer@unud.ac.id with supporting evidence; appeals are assessed case by case. This policy is reviewed regularly. Authors should read the current version before submitting and contact the editorial office if they are unsure whether a use of AI is acceptable.
Digital Archiving and Preservation Policy
Lontar Komputer recognizes the importance of preserving the scholarly record and keeping its published articles and their bibliographic information accessible over the long term.
The aim of this policy is to keep published content available, intact and accessible if there are technical failures, system migrations, changes in journal management, or if the journal ceases publication.
Published content is made accessible through the journal's Open Journal Systems (OJS) platform. Digital preservation arrangements should include appropriate institutional backups and, where implemented, participation in recognized digital preservation services or institutional repositories.
Information regarding the journal's active preservation services, backup arrangements, and publicly verifiable archival locations should be disclosed by the journal management.
